Service Tickets: Job Cards for Repairs & Services

Job cards for repair and service shops, from drop-off to invoice.

If you run a repair shop, vehicle service centre, electronics workshop, or any business where a customer drops something off for work, a Service Ticket (also called a job card or work order) is your record of that job from the moment it comes in to the moment it is paid.

A ticket captures the device or vehicle, what is wrong with it, who is working on it, and the parts and labour involved. When the job is done, you bill the ticket to an invoice in one click. Nothing is double-entered.

Service Tickets are optional. Turn them on under Settings > Modules & Features if your business needs them. Retail-only shops can leave them off and never see them.

Who Service Tickets Are For

  • Mobile phone and computer repair stores

  • Vehicle service and mechanic workshops

  • Appliance, watch, and electronics repair

  • Any service business that takes in an item, works on it, and hands it back

Creating a Service Ticket

  1. Click Service Tickets in the sidebar

  2. Click New Ticket

  3. Select the customer (or click Add New Customer right inside the search box to register a walk-in on the spot)

  4. Fill in the Asset / Device block: type, brand, model, serial/IMEI/VIN, plate, odometer, and the accessories handed over with it

  5. Describe the reported fault and note the device condition at intake

  6. Assign a technician and set a promised date if you have one

  7. Add the parts and labour you expect the job to need

  8. Save

The customer name, phone, and the asset details are now on record. You can print a job card to give the customer at drop-off.

Capturing the asset condition and accessories at intake protects you later if a customer claims something was missing or damaged. Be thorough here.

Tracking the Job

Every ticket moves through a clear lifecycle:

On the ticket detail page you can:

  • Move the job to its next stage with a single tap (each change asks for confirmation so nothing moves by accident)

  • Reassign the technician

  • Add notes as the job progresses (diagnosis findings, a call to the customer, a quote approval)

  • Watch a live timeline that records every status change, note, and assignment with a time stamp

The timeline also shows on the customer’s profile, so you always have the full service history for that customer in one place.

Technicians

Your technicians or mechanics live under Settings > Master Data > Technicians. Add each one by name or short code. They are not software users and do not need a login. You simply pick them from a list when assigning a job, and reports show how many tickets and how much revenue each one handled.

If a technician leaves, removing them keeps their name on past tickets for the record and just hides them from new assignments.

Billing the Job to an Invoice

When the work is finished:

  1. Open the ticket

  2. Click Bill to Invoice

  3. EVRST creates an invoice with the same parts and labour, attached to the same customer

  4. Take payment as normal (including split payment across cash and card)

The parts deduct from your stock at this point, exactly like any other sale, and the job revenue flows into your reports. A ticket only ever touches your books through this invoice, so your numbers are never double-counted.

Once a ticket is billed you cannot edit it, and you cannot cancel it while its invoice is still live. If you need to undo a billed job, void the linked invoice first. This keeps your records honest.

Printing

From the ticket you can print two documents:

  • Job Card - the full intake sheet with the asset details, reported fault, parts and labour estimate, your terms and conditions, and a customer signature line. Hand this to the customer at drop-off.

  • Ready-for-Pickup Slip - a short pickup note showing the final status and amount due.

Both follow your Design Studio branding and can be printed or saved as PDF.


Frequently asked questions

Do I have to use Service Tickets?
