Data Backup & Control

Local and cloud backup, recovery, and accountant export.

This is where EVRST shines. You control your data.

Local Backup

Your data is stored in a local database file (evrst.db) on your machine. You own it. You can:

  • Copy it to a USB drive

  • Email it to yourself

  • Back it up to a NAS

  • Copy it anywhere you want

There is no vendor lock-in.

Cloud Backup (Optional)

If you want an off-site backup:

  1. Go to Settings > Backup

  2. Connect your personal Google Drive account

  3. Toggle Cloud Backup on

  4. Set a schedule (daily, weekly, etc.)

EVRST will automatically backup your entire database to your Google Drive folder. Only you control access.

Google Drive backup and restoring a backup into the app are full-version features. During the free trial you can still create and download local backups as often as you like, so your data is always yours to take.

Data Recovery

If your machine fails:

  1. Install EVRST on a new machine

  2. Go to Settings > Backup

  3. Select your backup from Google Drive

  4. Restore

You are back in business in minutes with zero data loss.

Export for Accountant or Auditor

You can export:

  • Individual invoices as PDF

  • All invoices as CSV for spreadsheet analysis

  • Tax-ready reports

  • Stock lists

  • Customer lists with transaction history

This data can be handed to your accountant, auditor, or imported into other systems.

Importing Your Existing Data

If you are moving to EVRST from another system or a spreadsheet, you can bring your data in rather than typing it again. Open Data Management in the sidebar.

  1. Choose what you are importing: customers, items, vendors, invoices, purchase invoices, quotations, delivery notes, vouchers, payments, categories, or units

  2. Download the CSV template for that type. Columns marked with a * are required

  3. Fill the template in your spreadsheet program and save it as CSV

  4. Upload it. EVRST previews every row in the file, flags anything missing or duplicated, and tells you how many records it will create

  5. Confirm to import

Checking a long file. The preview lists your whole file, not a sample of it. Above the table, the valid, error and duplicate counts are buttons: click the error count and only the rows needing attention are shown, so a single bad row in six hundred takes one click to find. You can also set how many rows to show per page and jump straight to a page number. Filtering only changes what you are looking at; every row in the file is still imported.

While it runs. Records are created one at a time, so a large file takes a few minutes. You will see how many are done out of the total, and a Stop import button. Stopping is not an undo: records already created stay. If you stop, or if something goes wrong part way, simply upload the same file again. Existing records are matched and updated rather than duplicated.

A few things make the import forgiving:

  • Multi-line documents - to import an invoice (or quotation, purchase invoice, delivery note) with several lines, repeat the same value in the external_id column on each line and leave the header fields blank on the continuation rows. Those rows collapse into one document

  • Missing categories or units on an item import are created for you

  • Failed rows can be downloaded as their own CSV with an added error column, so you fix just those and re-upload

  • Numbers are read in both 1,500.00 and 1.500,00 styles, so European and US spreadsheets both work

  • Columns EVRST does not recognise are named in the preview before you confirm, so a misspelled heading cannot slip past unnoticed

  • Your own item codes are kept exactly as you typed them. The code column on the items template is the code the item gets, which is what makes re-importing a corrected file update your items instead of duplicating them

  • The items template also carries tax percentage, HSN code, serial tracking, warranty, and whether staff may override the price, so an item arrives ready to sell rather than needing a second pass by hand

For items you track by serial number, the opening quantity comes from the serial numbers you register, not from the quantity_on_hand column. The preview warns you on any row where those two disagree.
Import a handful of rows first to confirm the columns line up, then import the full file once you are happy.

Frequently asked questions

Where exactly is my data kept?

In a local database file named evrst.db on your own machine. You can copy it to a USB drive, email it to yourself, back it up to a NAS, or copy it anywhere you like. There is no vendor lock-in.

Is cloud backup required?

No. Cloud backup is optional. If you want an off-site copy you connect your own Google Drive account under Settings > Backup and set a schedule, and only you control access to that folder.

How do I recover my data if my PC fails?

Install EVRST on the new machine, go to Settings > Backup, select your backup from Google Drive, and restore. You are back in business in minutes with no data loss.

Can I back up during the free trial?

Yes. Creating and downloading local backups works normally during the trial. Google Drive backup and restoring a backup into the app are full-version features.
