Purchase Invoices: Managing Supplier Bills

Record supplier bills, receive stock, and fix mistakes.

When you buy stock or services, you record it as a Purchase Invoice. This is your record of what you owe vendors.

Recording a Purchase

  1. Click Purchase Invoices in the sidebar

  2. Click Create New

  3. Select your vendor

  4. Add the items/services you received

  5. Enter the cost from your supplier invoice

  6. Save

Stock Receipt & Cost Tracking

When you approve or pay a purchase invoice, EVRST automatically:

  • Adds the received quantity to your stock

  • Updates the item cost based on what you actually paid (moving weighted-average costing)

  • Locks the purchase lines so you cannot change quantities (received goods are immutable)

This ensures your inventory and profit calculations are always accurate.

Fixing a Purchase Mistake

If you posted a purchase invoice by mistake:

  1. Open the invoice

  2. Click Void at the top

  3. Choose whether to reverse the stock (return goods to vendor)

  4. Add a reason for the audit trail

  5. Confirm

The invoice is marked void, excluded from reports, but kept for record.


Frequently asked questions

Does recording a purchase invoice update my stock and costs?

Yes. When you approve or pay a purchase invoice, EVRST adds the received quantity to stock and updates the item cost based on what you actually paid, using moving weighted-average costing.

Can I change a purchase invoice after posting it?

No. EVRST locks the purchase lines once goods are received, so quantities cannot be changed. If you posted one by mistake, void it instead, choose whether to reverse the stock, and add a reason for the audit trail.
